Site of the Conference

The 2012 ARA WEEK 2012 will be held at Le Palais des Congrès de la Palmeraie (PCP):

The time distance between the conference centre and the Marrakech-Menara Airport (RAK) is 25 minute drive; and 2 hour drive from Casablanca Mohamed V International airport (CMN). 

Registration of participants - Badges

Pre-registration will be available from March 17th at the Palmeraie Golf Palace. Hotel reception will direct you on request.
Registration opens at 9.00 am on the 19th of March at the PCP. Each participant will receive a name badge upon registration. For security reasons all participants are requested to wear their badges during all the Conference activities.
Admission to the PCP will require, at all times, the presentation of badges.
Each delegation is requested to send the list of the names of its participants, at least two weeks prior to arrival. This will greatly facilitate the registration process.
The registration of the press/media will take place at the PCP.

Seating arrangements

Each Member delegation will be assigned one seat in the first row of tables. Associate Members will be assigned one seat in the second row of tables. Seats will be identified by country flag.

Languages of the Conference

English & French shall be the official languages of the Conference. Official documents of the Conference will be made available in the languages of the Conference.

Interpretation services

Statements made in any of the two official languages of the Conference will be interpreted into the other language. Portuguese and Arabic interpretation will be provided on the opening day for the President and Moroccan officials’ speeches.
For better quality interpretation, all presentations are to reach the ARA Operational Headquarters by the 5th of March 2012.

Other meetings

Work Group Meetings will all be held on Sunday 18th of March 2012 at the Menara 8 Room of the PCP, Ground Level of the PCP.

Circulation of ARA WEEK documents

All speeches, presentations, participants’ list, show guide will be uploaded onto the ARA’s website www.afrra.org and the download link will be sent to all within a week after the conference.
Presentations will not be downloaded to USB keys during the conference.

Presentation Guidelines

Data should be in Microsoft Power Point format.
Participants who have prepared their presentations on a Macintosh are to note that Windows is the only operating system available for the presentations.

Receipt and circulation of participants’ documents

Documents that Members, Associate Members and Guests may wish to make available to participants should be provided in appropriate languages and quantities. These should be delivered at the PCP on the 18th of March 2012. They will be displayed at the ARA stand.
Separate guidelines will be sent to sponsors in respect of their documents, stands and presentations.

Media

Detailed information concerning press facilities and media accreditation will be issued separately.

Travel arrangements

Due to the fact that Morocco is a tourist destination and the month of March is high season, participants should make their travel arrangements as soon as possible. Letters of invitation can be provided to facilitate visa purposes. For same, you are required to fill the letter of invitation form (click to download) and send it back to visa@afrra.org.

Reception on arrival

Special information desks will be in place at ARRIVAL at Casablanca International Airport and Marrakech Menara International Airport from March 17th to 20th, 2012. The desk officers will answer all questions about arrangements for transportation to hotels and currency exchange information. Please watch out for the ARA pull-up.
In case you have already provided tarikessalama@menara.ma with your flight details, the information desk will take you directly to your car/ shuttle.

Transportation

During the Conference, shuttle buses will operate between the Palmeraie Village and the Conference site.
The hotel has a shuttle service to the city centre and back.

Currency and credit cards

The Moroccan currency is the Moroccan Dirham (MAD; symbol Dh). ATM facilities are available at the PCP. Credit cards such as Visa, Master Cards are widely accepted in Morocco.
Exchange rate as of 27/09/2011: 1.00 EUR = 11.2204 MAD / 1.00 USD = 8.25704 MAD.

Electricity

The standard electricity in Morocco is 110/220 volts AC, 50Hz. It is advisable to bring conversion plugs or adapters, if needed.

Climate

The average temperature in Morocco in March is between 22 and 10 degrees Celsius.

Services available at the PCP

Banking facilities, hotel and tourist information are available on the PCP premises.
